Privacy Policy — Offline Bookkeeping (Bookkeeping & Tax Prep)

Offline Bookkeeping is a Google Chrome extension that converts PDF bank statements into categorized, reconciled Excel and QuickBooks (QBO) files. This policy explains exactly what data the product handles, what it never touches, and your choices. If anything here conflicts with a shorter summary elsewhere on this site, this policy is the accurate version.

1. Your financial documents never leave your computer

All statement processing happens 100% locally inside your browser:

  • Bank statement PDFs you open with the extension are parsed on your own device. They are never uploaded, transmitted, or stored on our servers.
  • The Excel/QBO files the extension creates are generated on your device and saved only where you choose to save them.
  • We have no access to your statements, transactions, client names, or account numbers, and we cannot recover them for you.

2. Data we do collect, and why

To run trials, licenses, and payments we operate a small licensing service. It handles only the following:

a) Email address

  • When you request the free 3-day trial, you provide a work email so we can generate and send your personal trial license key.
  • When you buy a license, our payment provider (Paddle, section 4) shares your email and subscription status with us so the extension can activate and stay activated.
  • Used for: delivering license keys, activation, subscription support, and essential service messages. We do not sell email addresses and do not use them for third-party advertising.

b) License and activation data

  • Your license key, activation date, subscription/trial status, and the extension version are checked against our licensing service when the extension activates and periodically while it runs.
  • Used for: preventing license abuse and confirming your plan.

c) Feedback and support messages

  • If you send feedback through the extension or contact us by email, we receive the message content and your email address.
  • Used for: replying to you and improving the product.

d) Website logs

  • This website is hosted on Cloudflare. Like most hosts, Cloudflare keeps standard technical logs (such as IP address and browser type) for security and reliability. We do not run advertising trackers on this site.

3. How your data is used

Only for the purposes listed in section 2: providing the trial, license, and payment functions; support; security; and legal compliance. We do not sell personal data, rent it, or use it for advertising profiles.

4. Sharing — the one processor we use

  • Payments are processed by Paddle (Paddle.com), our Merchant of Record. When you buy, Paddle collects your payment details directly; we never receive or store your full card number. Paddle shares your email, plan, and subscription status with us so your license works. Paddle's own privacy policy governs the data it collects.
  • Apart from Paddle and our hosting provider (Cloudflare), we do not share personal data with third parties, except where required by law.

5. Storage and retention

  • Trial and license records (email + key + status) are kept while your trial or subscription is active, and afterwards only as long as needed for accounting, fraud prevention, or legal obligations.
  • You may ask us to delete your email and license record at any time (section 6); we action verified deletion requests within 30 days. Deleting your record ends the associated license.
  • Everything processed inside the extension stays on your device; uninstalling the extension or clearing its local storage removes it.

6. Your rights and choices

You can ask us at any time to: confirm what personal data we hold about you, correct it, or delete it. Contact us at [email protected]. Uninstalling the extension stops all future license checks.

7. Security

Data in transit between the extension and the licensing service is encrypted (HTTPS). Access to licensing records is restricted. Because your financial documents never leave your device, they are protected by your own device security and Chrome's sandbox.

8. Chrome Web Store User Data Policy

Our handling of user data complies with the Chrome Web Store User Data Policy, including its Limited Use requirements: data obtained through the extension is used only to provide and improve the product's user-facing features, is never sold or transferred for advertising, and is never accessed by humans except to provide support you requested, for security, or where legally required.

9. Children

This product is built for bookkeeping and tax professionals. It is not directed at children under 13, and we do not knowingly collect their data.

10. Changes to this policy

We will post changes on this page with a new effective date. Material changes to how personal data is handled will also be noted in the extension's store listing.
